1. Booking Confirmation
How to Book

1.2 Booking Process
  •  To book a tour, you must provide accurate and complete information, including your full name, contact details  the tour you wish to book, the date, the number of participants, and any special requests or requirements.
  • Upon successful booking, you will receive a booking confirmation email containing details of your tour, including the tour name, date, time, meeting point, and a unique booking reference number.
  • It is your responsibility to review the booking confirmation carefully and notify us immediately of any errors or discrepancies.
1.3 Availability

All tours are subject to availability. We reserve the right to cancel or reschedule a tour if it does not meet the minimum required number of participants, or due to unforeseen circumstances such as adverse weather conditions, natural disasters, or other events beyond our control. In such cases, we will offer you a full refund or the option to reschedule your tour.

2.2 Payment Schedule
Deposit
A 50% deposit of the total tour price is required at the time of booking.
Final Payment
The remaining balance is due 7 days before the tour start date. The exact due date will be specified in your booking confirmation.
Last-Minute Bookings
For bookings made within 14 days of the tour start date, full payment is required at the time of booking.
2.3 Currency
All prices are quoted in USD.
2.4 Failure to Pay
If full payment is not received by the due date, we reserve the right to cancel your booking and apply the cancellation fees outlined in Section 3.
3. Cancellation Policy
3.1 Cancellation by You
To cancel a booking, you must notify us in writing via email at [email protected] The date of receipt of your email will determine the cancellation period.
Cancellation Fees
  • 30 days or more before the tour start date: 50% of the total tour price.
  • 21 days before the tour start date: 75% of the total tour price.
  • 14 days before the tour start date: non-refundable.
3.2 Cancellation by Kani Tours
  • We reserve the right to cancel a tour for any reason, including but not limited to:
    • Insufficient bookings
    • Adverse weather conditions
    • Unforeseen circumstances (e.g., natural disasters, government restrictions)
  • In the event of cancellation by us, you will be offered a full refund of the tour price. We are not responsible for any other expenses incurred by you, such as travel or accommodation costs.
4. Cancellation Fees

The cancellation fees, as outlined in Section 3, are applied to cover costs incurred by Kani Tours, including but not limited to:

  •  Administrative fees
  • Loss of revenue from the cancellation
  • Costs incurred to third-party providers (e.g. transportation)
      
5. Important Information for Travelers
5.1 Travel Documents:
It is your responsibility to ensure that you have all necessary travel documents, including a valid passport, visas, and any required health certificates or vaccinations. Kani Tours is not responsible for any issues arising from missing or invalid travel documents.
5.2 Health and Safety:
  • You are responsible for your own health and safety during the tour.
  • We recommend that you consult with your doctor regarding any necessary vaccinations or health precautions before your trip.
  • We will provide information on safety guidelines and precautions related to the tour. You must follow all instructions given by our guides.
5.3 Insurance:
We strongly recommend that you have travel insurance that covers medical expenses, trip cancellation, and loss or damage to your belongings.
5.4 Physical Fitness:
Some tours may require a certain level of physical fitness. Please review the tour descriptions carefully and assess your ability to participate. If you have any health concerns, please consult with your doctor before booking.
5.6 Photography and Filming:
We may take photographs and videos during our tours for promotional purposes. By booking a tour, you consent to the use of your image in these materials. If you do not wish to be photographed or filmed, please inform us in advance.
5.7 Behavior:
We expect all participants to behave in a respectful and responsible manner. We reserve the right to remove any participant from a tour who disrupts the enjoyment of others or endangers themselves or others. No refund will be provided in such cases.
5.8 Gratuities:
Gratuities for guides and drivers are not included in the tour price and are at your discretion.
5.9 Complaints:
Any complaints should be reported to your tour guide as soon as possible so that we can try to resolve the issue during the tour. If the issue is not resolved, please submit your complaint in writing to [email protected] within 7 days of the tour's completion.
5.10 Liability:
Kani Tours acts as an agent for third-party service providers, such as hotels, transportation companies, and activity providers. We are not responsible for any acts, omissions, or negligence of these third-party providers. Our liability is limited to the services we directly provide.
5.11 Governing Law:
These Terms and Conditions shall be governed by and construed in accordance with the laws of Sri Lanka. Any disputes arising out of or in connection with these terms and conditions shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
